The organizing committee of the young water professional BeNeLux conference (further denoted as “us”, “we”, or “our”) operates https://ywpbenelux.org/ (further denoted as the “Site”). This page informs you of our policies regarding the collection, use and disclosure of Personal Information we receive from users of the Site.

We use your Personal Information only for organizing the YWP BeNeLux conferences and for improving the Site. In any case, these data will not be transferred to third parties without your approval. By using the Site, you agree to the collection and use of information in accordance with this policy.

Information collection and use

While using our Site, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you (e.g. registration procedure). Personally identifiable information may include, but is not limited to, your name, email address and institution (“Personal Information”). We may use your Personal Information to contact you with newsletters, marketing or promotional materials and other information that relates only to the YWP BeNeLux 2024 conference. We can also use the Personal Information for future editions of the YWP BeNeLux conference. If you don’t want to be contacted anymore, you remain the ‘right to be forgotten’ (see ‘Contact us’ section at the end of this webpage).

Submitted abstracts will be available for members of the organizing committee and will be distributed to members of the scientific committee for review purposes. If your abstract is selected for a poster or oral presentation, upon agreement, the abstract will become available on a secured webpage that is only accessible for all people attending the YWP 2024 BeNeLux conference. Abstracts will be stored by the organizing committee until maximum two years after the YWP BeNeLux 2024 conference has taken place.

An invoice can be requested during the registration procedure. We will share this information with our administrative services. The provided information will be treated with care and will only be used for creating a personal invoice for the YWP BeNeLux 2024 conference. This information will not be saved after the creation of the invoice.

Pictures taken during the conference will be used only for activities that relate to the YWP BeNeLux conference and will not be shared with third parties.

It might be possible that your presentation is broadcasted by video conferencing for people not being able to join the conference in real life. However, we will monitor the meeting and ensure that only invited attendees are joining the meeting. It is not our intend to record any of the videos and users are also requested not to record meetings. Please be aware that your personal data will be collected and processed by the provider of the conference tools and by us. This includes, in particular, names, email addresses, IP addresses, MAC addresses, device IDs, device type, operating system type and version, client version, camera type, microphone or loudspeaker and the type of connection. Should content be exchanged, uploaded or otherwise made available within the tool, it is also stored on the servers of the tool provider. Such content includes, but is not limited to, chat messages, uploaded photos and videos, files, whiteboards and other information shared while using the service. Please note that we do not have complete influence on the data processing procedures of the tools used. Our possibilities are largely determined by the corporate policy of the respective provider. Further information on data processing by the conference tools can be found in the data protection declarations of the tools used.

Log Data

Like many site operators, we collect information that your browser sends whenever you visit our Site (further denoted as “Log Data”). This Log Data may include information such as your computer’s Internet Protocol (“IP”) address, browser type, browser version, the pages of our Site that you visit, the time and date of your visit, the time spent on those pages and other statistics. In addition, we may use third party services such as Google Analytics that collect, monitor and analyze this Log Data.

Cookies are files with small amount of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a web site and stored on your computer’s hard drive.
